BACKGROUND

The Public Works department utilizes several vendors that provide multiple services under various contracts. Additionally, the Public Works department utilizes vendors in conjunction with other City departments. City Council authorization is required when the combined total of purchase orders and agreements for one vendor exceeds $25,000. This vendor currently requires a vendor cap increase to allow for additional purchases.

Western Water Works Supply Co.

Multiple City departments have been utilizing Western Water Works Supply Co. for the purchase of water distribution parts, inventory, and repairs. Due to an increase in project activity, maintenance, and repair work, staff will need to purchase additional parts and materials beyond the approved current vendor cap of $85,000.  Staff estimates that a $25,000 increase to the current vendor cap for Western Water Works Supply Co. will cover additional purchases required for Fiscal Year 2018-19.

 

ISSUES/ANALYSIS

City staff continues to incorporate good business practices when entering new purchase orders.  City staff reviewed the above purchase order to ensure that the City’s Purchasing Guidelines were followed throughout the entire process. 

 

Therefore, staff recommends increasing the existing vendor cap for Western Water Works Supply Co. by $25,000, for a new total vendor cap of $110,000. This request requires no appropriation as the expenditures are within the adopted Fiscal Year 2018-19 budgeted appropriations.
